HGV Logbook Privacy Policy

HGV Logbook is developed and owned by Brett Green.

This Privacy Policy explains how HGV Logbook handles information when you use the Android application.

HGV Logbook has been designed with privacy in mind. The app primarily stores your working information locally on your Android device and does not require you to create an HGV Logbook account.

1. Information Stored by HGV Logbook

HGV Logbook allows you to enter and store information relating to your working day, including:

• Driver name

• Company name

• Shift dates

• Start and finish times

• Starting and finishing mileage

• Truck details

• Trailer details

• Delivery locations

• Arrival and departure times

• Trailer swaps

• Break information

• Notes

• Proof of Delivery (POD) photographs

• Working-week information and reports

This information is used to provide the app's logbook, delivery, reporting, backup and related functionality.

The HGV Logbook app itself does not operate an online user account or HGV Logbook cloud database to which this working data is automatically uploaded.

2. Local Data Storage

HGV Logbook stores its working data locally on your Android device.

This allows the app to operate without requiring an HGV Logbook online account.

Information remains under the control of the user unless the user chooses to export, share, back up or otherwise transfer information using functionality provided by HGV Logbook or Android.

3. Proof of Delivery (POD) Photographs

HGV Logbook allows users to attach Proof of Delivery photographs to delivery records.

POD photographs are stored within the application's local storage and are associated with the relevant delivery.

HGV Logbook provides controls that allow users to:

• Take a POD photograph

• View a stored POD photograph

• Share a POD photograph

• Replace a POD photograph

• Delete a POD photograph

POD photographs may also be included in Working Week PDF reports and HGV Logbook backup ZIP files.

Users are responsible for ensuring that photographs they capture or store using HGV Logbook are appropriate and that they have any necessary authority to photograph, retain or share the information shown.

4. Backup and Restore

HGV Logbook provides Backup & Restore functionality to help protect the user's records.

Backup ZIP files may contain:

• HGV Logbook working data

• Driver and company information

• Shift and delivery records

• Notes

• Stored POD photographs

HGV Logbook may also create automatic local backup ZIP files as part of its data-protection functionality.

These backups are intended to help recover HGV Logbook information if required.

If a user exports, copies or shares a backup file outside the application, the user is responsible for keeping that exported copy secure.

5. PDF Reports and Exports

HGV Logbook can create Working Week PDF reports from information stored in the app.

Depending on the records selected, a report may contain working information and POD photographs.

When a user chooses to save, export or share a PDF, backup or other file, Android may provide compatible applications or locations selected by the user.

Once information has been intentionally exported or shared with another application, person, storage provider or service, its subsequent handling may be governed by that recipient or service's own privacy practices.

6. App Permissions and Device Access

The current HGV Logbook Android build has been designed to minimise permission requests.

HGV Logbook does not currently declare direct Android permissions for:

• Location

• Contacts

• Microphone

• SMS

• Call logs

• Phone

• Advertising tracking

• Broad photo or media-library access

• Broad device storage access

HGV Logbook therefore does not use those permissions to monitor or collect information from the device.

Where a feature requires interaction with another Android capability or application, HGV Logbook can use Android's system-provided mechanisms rather than requesting unnecessary broad access.

Android itself supports privacy-preserving system mechanisms that allow apps to work with user-selected files and media without requiring broad storage or media permissions. Android Developers

7. Camera and POD Capture

HGV Logbook provides a user-initiated feature for taking a POD photograph.

The app does not continuously monitor or record using the device camera.

A POD capture occurs only when the user chooses the relevant POD photo function.

The resulting photograph is used for the HGV Logbook feature requested by the user and is stored as part of the user's local HGV Logbook data.

8. Location

HGV Logbook does not currently request Android location permission.

The app does not use GPS or Android location services to track the user's movements or automatically determine the user's location.

Delivery locations entered into HGV Logbook are information entered or selected by the user for the purpose of maintaining their delivery records.

9. Internet and Online Accounts

HGV Logbook does not require an HGV Logbook user account to record working information.

The current app is designed so that the core logbook data is maintained locally rather than being transmitted to an HGV Logbook server.

External resources, such as the HGV Logbook website, Privacy Policy, User Guide, support resources or Video Guide, may be opened using other applications or services on the device. Those external services may operate under their own privacy policies.

10. Sharing Information

HGV Logbook does not automatically share the user's locally stored working records with other HGV Logbook users, employers, advertisers or data brokers.

Information may leave the app when the user deliberately chooses to perform an action such as:

• Sharing a POD photograph

• Sharing or exporting a PDF report

• Exporting or copying a backup

• Opening information in another application

• Sending information to another person or organisation

The destination selected by the user is responsible for its own handling of information after it receives it.

11. Advertising

HGV Logbook does not currently contain third-party advertising.

HGV Logbook does not sell users' locally stored logbook information to advertisers.

12. Analytics and Tracking

The current HGV Logbook application does not use its own advertising-tracking system to profile drivers from their locally stored working records.

If analytics, advertising, cloud synchronisation or another service that changes HGV Logbook's data-handling practices is introduced in a future version, this Privacy Policy and the relevant Google Play Data Safety declarations will be reviewed and updated before or alongside that change.

13. Google Play

HGV Logbook is intended to be distributed through Google Play.

Google Play is operated by Google and may independently process information associated with downloading, installing, updating, purchasing or interacting with applications through Google Play.

Google's handling of information associated with Google Play is governed by Google's own policies and is separate from the locally stored working information handled by HGV Logbook.

Google Play requires developers to provide a Data Safety declaration explaining whether and how their applications collect or share specified categories of user data. Google Help

Information accessed only on a user's device and not transmitted off the device is generally not treated by Google Play as "collected" for the purposes of its Data Safety section. Google Help

The HGV Logbook Google Play Data Safety declaration will be maintained to reflect the behaviour of versions of HGV Logbook distributed through Google Play.

14. Google Play Services and Google Services

Downloading HGV Logbook through Google Play may involve services provided by Google independently of HGV Logbook.

HGV Logbook's website and support material may also use services such as Google Sites, Google Forms, Google Drive or YouTube.

When a user voluntarily visits or interacts with one of those services, Google may process information in accordance with Google's own terms and privacy policies.

This is separate from HGV Logbook's locally stored shift, delivery and POD records.

15. HGV Logbook Support

Users may contact HGV Logbook Support through the support facilities provided on the HGV Logbook website.

If a user submits a support request, information they voluntarily provide—such as their name, email address, telephone number (if provided), enquiry type and message—will be used for the purpose of responding to and managing that support enquiry.

Support information is separate from the locally stored working records contained within the HGV Logbook app.

Users should avoid sending unnecessary confidential or sensitive information in a support request.

16. Data Retention

Working data stored by HGV Logbook remains on the user's device until it is deleted through the app, removed as part of normal application use, or the application's local data is removed.

Backup files or exported reports that have been copied outside HGV Logbook remain wherever the user has chosen to store them until the user deletes those copies.

POD photographs associated with HGV Logbook records are managed as part of the application's POD and data-management functionality.

17. Deleting Your Data

HGV Logbook does not require an HGV Logbook online account.

Users can manage and delete records within the app.

Users may also remove HGV Logbook's locally stored application data using Android's application-management controls or by uninstalling the app, subject to Android's own backup and restore behaviour.

Deleting HGV Logbook from a device does not necessarily delete copies that the user previously exported, shared or backed up elsewhere. Those copies must be deleted from their respective locations separately.

18. Android Backup and Device Services

Android or the device manufacturer may provide operating-system-level backup, restore, device transfer or synchronisation functionality independently of HGV Logbook.

Such functionality is controlled by Android, the device manufacturer and/or the user's device settings.

HGV Logbook's own Backup & Restore functionality is separate from any operating-system or device-level backup service.

19. Security

HGV Logbook is designed to minimise unnecessary collection and transmission of user information.

Because working records and POD photographs may contain business or delivery information, users should protect access to their Android device and take reasonable care when exporting, sharing or storing HGV Logbook backup files, reports and photographs.

No electronic storage system can be guaranteed to be completely secure.

20. Children's Privacy

HGV Logbook is designed as a working logbook application for HGV drivers and is not designed as a service directed at children.

The app does not intentionally provide social networking, messaging or child-directed functionality.

21. Third-Party Applications and Services

When a user deliberately shares or opens HGV Logbook information using another application or service, that third party may process the information according to its own privacy policy.

HGV Logbook is not responsible for the independent privacy practices of third-party applications or services selected by the user.

22. Changes to This Privacy Policy

This Privacy Policy may be updated when HGV Logbook changes, when new functionality is introduced, or when legal, Android or Google Play requirements change.

When material changes are made, the Last updated date at the top of this page will be changed.

Users are encouraged to review this Privacy Policy periodically.
